A report is useful when the reader knows what it includes, which date it uses and where its totals came from. When planning hospital management software, start with the decisions made by hospital reception, billing, laboratory and pharmacy teams. A small set of clearly defined reports can be more practical than many reports whose fields are difficult to interpret.

Start with one review question
Choose a question your team asks regularly, such as what remains pending or how a particular result was created. Use the patient UHID and visit or admission reference to define the report’s level of detail. A summary and a detailed transaction list answer different questions, so decide when each is needed.
Encounter-wise collections
Review charges, advances, receipts and balances for the same visit or admission. Define the period, filters and status conditions before accepting the result. Ask to open a few source entries from the report and check that the reference and amount or quantity agree with the records being summarized.

Compare tests billed, packages selected and reports entered without assuming that package prices and individual test rates are identical.

Check date and status definitions
An entry date, approval date and closing date can produce different totals. Agree which date belongs in each report and how open, changed or cancelled records are treated. Printed headings should make the selected dates and filters visible so an exported file can be understood later.
Reconcile a small sample first
Select several records that include normal activity and a correction. Compare the report with their source information. In this workflow, discuss creating a second patient identity or applying a receipt to the wrong admission and verify that the relevant report helps the reader notice the difference.
Plan exports and access
Decide who needs to view the report and whether an export or print format is required. A useful export should retain clear column names, selected filters and meaningful references. Review whether staff need a transaction list, a management summary or both.
